West Virginia University MedCoach
Mission
The mission of West Virginia University MedCoach is to mentor those who wish to apply to medical school. Current WVU School of Medicine students serve as mentors and are assigned current WVU undergraduate students as mentees. Mentors are encouraged to provide advice and support to mentees regarding all pre-med topics, including but not limited to the MCAT, medical school applications, and pre-med undergraduate curriculum.
A mandatory training session occurs at the start of the school year for mentors prior to the matching process. Once mentors are matched with mentees, most contact is planned on an individual basis, with both in-person meetings and emails encouraged. Several large events are held each year, including get-to-know you mentor/mentee events, Q&As on medical school admissions and applications, MCAT workshops led by current mentors, and an ultrasound workshop. Mentors can log all activities for service hours.

Constitution of WVU MedCoach
Article I. NAME
The name of this organization is WVU MedCoach.
Article II. PURPOSE
The purpose of this organization is to mentor those who wish to apply to medical school.
Article III. MEMBERSHIP
Section 1.
Mentor membership of this organization is limited to medical students at the West Virginia University School of Medicine. Mentors must be full-time students in good academic standing. Mentors may not be on academic probation or have any professionalism violations against them.
Section 2.
Mentee membership of this organization is limited to students at the West Virginia University.
Section 3.
This organization will not deny membership on the basis of race, sex, age, disability, veteran status, religion, sexual orientation, color, or national origin.
Article IV. OFFICERS
Section 1.
The officers of this organization include the:
President
Vice President
Secretary
Mentor Coordinator
Mentee Coordinator
Community Outreach Coordinator
Webmaster
Treasurer
Section 2.
The duties of the officers of this organization are as follows:
The President shall:
-Preside at leadership and general membership meetings.
-Appoint committees and serve as an ex-officio (nonvoting) member of said committees.
-Carry out assignments inherent to the office of the president.
The Vice President shall:
-Be an aide to the president.
-Assume the duties of the president in case of absence or disability of the president.
-Oversee the coordination of all projects.
The Secretary shall:
-Keep a written record of all meetings (leadership, mentor, general membership, etc.), including attendance and topics discussed not limited to upcoming events, recent issues, and possible solutions.
-Maintain a list of active members, including mentors and mentees.
-Have a substitute appointed by any officer the day of an event in case of absence or disability of the secretary.
-Work with other officers on projects.
The Mentor Coordinator shall:
-Schedule general mentor meetings.
-Maintain a list of mentor preferences for mentees.
-Coordinate with the Mentee Coordinator to match mentors with mentees.
-Work with other officers on projects.
The Mentee Coordinator shall:
-Maintain a list of mentee preferences for mentors.
-Coordinate with the Mentor Coordinator to match mentors with mentees.
-Work with other officers on projects.
The Community Outreach Coordinator shall:
-Coordinate with the Medical Education Outreach and Recruitment Program Director to organize events for coaches and/or mentees to engage the community.
-Plan events for coaches and mentees to perform community service together.
-Work with other officers on projects.
The Webmaster shall:
-Coordinate research on how MedCoach affects undergraduate success.
-Use collected data to inform ways to improve MedCoach.
-Oversee the group’s social media pages.
-Manage all technology needs of the group.
-Work with other officers on projects.
The Treasurer shall:
-Oversee all transactions.
-Organize budgets.
-Serve as the financial liaison between WVUMedcoach and the WVUSoM.
-Organize fundraiser opportunities.
-Work with other officers on projects.
Section 3.
Officers will be appointed or elected January of each year. Terms will run for a period of one year from time of appointment. Officers must be full-time medical students at the West Virginia University School of Medicine in good academic standing. Officers may not be on academic probation or have any professionalism violations against them.
Article V. CONDUCT CODE
This organization will adhere to the West Virginia University Conduct Code.
Article VI. MEETINGS
Section 1.
Meetings and events of the organization will be announced no later than two weeks prior to the meeting or event date.
Section 2.

Section 3.
Quorum is constituted by the arrival of 1 officer. This organization will follow parliamentary authority.
Article VII. AMENDMENTS
Amendments to the constitution of WVU MedCoach may be made with a four out of seven voting majority of the officers.
